Direct answer: compare the invoice, not just the advertised rate
The daily rate can look cheapest until a ten-day project requires ten separate daily units. A weekly package can look expensive until its included meter hours remove overtime. Delivery, pickup, damage waiver, tax, fuel, and required fees can also change the winner. Enter every quote on the same basis before deciding.
This calculator compares three simple package strategies: all daily units, all weekly units, or all four-week units. A vendor may allow a mixed package, early return credit, weekend treatment, or a different billing cycle. If so, model the closest option here and confirm the final written calculation with the rental counter.
Worked example
For a 10-day project using 60 meter hours, assume a $425 daily rate with 8 included hours, a $1,350 weekly rate with 40 included hours, and a $3,600 four-week rate with 160 included hours. Add $250 delivery, $250 pickup, a 12% waiver, 6% estimated tax on base rent plus waiver, $75 of other fees, and $150 for fuel.
The calculator uses 10 daily units, 2 weekly units, or 1 four-week unit. Estimated all-in totals are $5,770.60 for daily, $3,930.44 for weekly, and $4,998.92 for four weeks. The weekly package is lowest by $1,068.48 before considering differences in availability, contract terms, equipment condition, or support.
Included meter hours can overturn the calendar-day answer
Rental periods usually control possession time, while included meter hours control use. Those are different limits. A machine can remain on site for a week but exceed the weekly meter allowance in a few long shifts. Conversely, weather delays can consume possession days without adding many meter hours.
Use expected productive and idle meter time conservatively. If the machine must run more than one shift, confirm how overtime is measured, whether attachments have separate meters, and whether the allowance is prorated. The calculator charges overtime only when expected hours exceed the selected package allowance.
Delivery, pickup, fuel, and cleaning belong in the comparison
A low base rate from a distant branch may lose after two transport charges. Confirm whether delivery is one-way or round trip, whether pickup must be scheduled, and whether waiting or failed-delivery charges apply. If you are transporting the machine yourself, compare that choice with the real truck, trailer, labor, loading, permit, and insurance cost.
Also confirm the return fuel level, DEF or charging requirement, cleaning standard, and any environmental fee. Enter a realistic fuel or refill estimate rather than assuming a full refund or no charge.
Damage waiver, insurance, tax, and deposits are separate questions
A damage waiver may limit some customer responsibility, but it is not automatically insurance and may exclude theft, rollover, tires, tracks, glass, water damage, improper use, unattended equipment, or loss of use. Read the actual terms and coordinate them with your insurance professional when the exposure is material.
This calculator applies the waiver percentage to base rent and the estimated tax rate to base rent plus waiver. That keeps the comparison understandable, but actual tax rules can include or exclude transport, fuel, waiver, attachments, and other charges. A refundable deposit affects cash required but should be tracked separately from the expected final rental cost.
What the lowest total does not tell you
- Whether the exact machine, bucket, attachment, coupler, capacity, reach, or auxiliary flow will perform the work.
- Whether the equipment is available for the required dates or can be replaced quickly after a breakdown.
- Who pays for downtime, field service, tire or track damage, cleaning, theft, or late return.
- Whether the operator, jobsite, transport method, and intended use meet the contract and insurance requirements.
- Whether a mixed daily-plus-weekly quote would beat all three single-package comparisons.

Does the calculator treat a refundable deposit as rental cost?
No. A refundable deposit affects cash required but is not included in the estimated final rental expense.
Is a rental damage waiver the same as insurance?
Do not assume that it is. Review the written waiver, exclusions, insurance policy, deductible, and responsibility for damage, theft, and loss of use.
Should I choose the lowest calculated total automatically?
Not always. Confirm equipment condition, attachment fit, availability, support, pickup timing, downtime terms, and the complete written contract before choosing.
