Direct answer: price the excavator's wear and low-hour months

A mini excavator can look inexpensive when only fuel is considered. The hourly floor also has to carry the payment or depreciation, insurance, storage, service, repair reserve, rubber tracks or undercarriage, bucket and tooth wear, operator cost, and business overhead. The fixed portion rises quickly when the machine has fewer billable hours than expected.

Use this calculator for the machine-and-operator hourly floor. Keep mobilization, attachments, trench boxes, shoring, spoil hauling, disposal, helper labor, materials, permits, utility locating, and job-specific risk in the actual bid unless they are already included in a documented input.

Worked mini excavator example

With $2,100 of monthly payment or depreciation, $450 of insurance and storage, and 75 billable hours, fixed ownership cost is $34 per billable hour. Fuel at 2.7 gallons per hour and $4 per gallon adds $10.80. Adding $20 maintenance reserve, $7 undercarriage and bucket wear, $35 operator cost, and $12 overhead produces a total cost of $118.80 per hour.

A 25% target gross margin produces a planning billing rate of $158.40 per hour. At 75 billable hours, the modeled monthly machine, operator, and overhead cost is $8,910. Those figures are an example built from the defaults, not a published local rate.

Undercarriage and attachment wear make excavator costing different

Tracking on rock, demolition debris, steep slopes, and abrasive soil can accelerate rubber-track or undercarriage wear. Frequent turning in place can also increase wear. Bucket teeth, cutting edges, pins, bushings, couplers, thumb components, hydraulic hoses, and auxiliary attachments need a documented allowance when the work consumes them.

Do not bury a costly hammer, auger, compactor, grapple, or specialty bucket inside a general excavator rate without checking its acquisition, maintenance, consumables, and expected utilization. Price unusual attachment wear separately when it changes materially by job.

Billable hours are not the same as meter hours

The hour meter can include warm-up, idle time, loading, unloading, tracking around the site, fueling, cleaning, and unpaid troubleshooting. Billable hours are the hours the customer price actually recovers. Use realistic paid machine hours in the fixed-cost calculation and account for unpaid time elsewhere in the estimate.

At 50 billable hours, the default fixed cost rises to $51 per hour and total cost rises to $135.80. At 100 billable hours, fixed cost falls to $25.50 and total cost falls to $110.30. That utilization swing changes the 25% margin rate from about $181.07 to $147.07 per hour even though the payment did not change.

Transport and job conditions belong in the bid

Inputs worth reviewing every quarter

  • Actual customer-billable hours compared with meter hours and available working hours.
  • Fuel and DEF consumption under digging, tracking, lifting, attachment, and idle conditions.
  • Service invoices, filters, fluids, hydraulic repairs, hoses, pins, bushings, and electrical work.
  • Track, sprocket, roller, idler, bucket, tooth, and cutting-edge replacement history.
  • Operator payroll burden, training, supervision, and unpaid setup or cleanup time.
  • Insurance, storage, financing, telematics, administration, and other overhead assigned to the machine.

Use the rate without double counting

Write down what the hourly cost already contains. If operator cost is inside the calculator, do not add the same operator hour again in the bid. If maintenance and undercarriage reserve are included here, add only job-specific excess wear separately. Keep material, hauling, disposal, permits, subcontractors, and taxes visible.

After the job, compare estimated hours, production, fuel, wear, mobilization, and actual margin with the final record. Update the defaults when repeated local results support the change rather than reacting to one unusual job.

Common questions

Should mini excavator mobilization be inside the hourly rate?

It can be, but a separate mobilization fee or minimum charge usually makes short and distant jobs easier to price transparently. Avoid charging the same transport cost twice.

How should I account for a hydraulic hammer or auger?

Add the attachment's ownership, maintenance, consumables, and excess wear when it materially changes cost. A specialty attachment may need its own hourly charge.

Should I use available hours or billable hours?

Use realistic customer-billable machine hours for spreading fixed ownership cost. Available hours and meter hours can overstate the hours that actually recover cost.
