Dump Truck Hauling Rates: How to Price the Job

Build an hourly, per-load, per-ton, or per-yard rate from the actual payload, cycle, fleet, cost, risk, and contract terms instead of relying on a vague national average.

There is no single dump truck hauling rate

A rate that works for a short, clean stockpile move can lose money on a congested route with scale queues and a slow dump. The same hourly charge can also produce very different per-ton economics when payload, loader service time, or return speed changes. Truck class, material, route, cycle time, crew, fuel, disposal, insurance, overhead, demand, and contract language all matter.

Use public equipment schedules or competitor quotes as reasonableness checks—not as substitutes for local cost. The reliable order is: define the scope, verify quantity and payload, model the cycle, estimate production, build internal cost, select a billing unit, apply margin, and write the change terms. Choose the billing unit that matches the risk

Hourly dump truck rate

Hourly pricing is easiest to defend when production is uncertain or the customer controls loading, access, queueing, or dump conditions. Define when the clock starts and stops, whether travel to the site is included, the minimum hours, the billing increment, and how standby is treated. An hourly rate still needs a cost floor; it should not be copied from another truck without checking ownership, fuel, labor, overhead, and utilization.

Rate per load

Per-load pricing is easy to count, but only when a “load” is defined. State the truck or payload class, material, included route, dump location, and treatment of short or rejected loads. A visible truck body is not proof of tons, and a partial last load can distort the average. Use scale tickets when payment, disposal, or compliance depends on weight.

Rate per ton

Per-ton pricing ties revenue to measured output and is strongest when certified or accepted scale weights are available. It places more payload and cycle risk on the contractor. The rate must recover the cost of empty return, queueing, partial final loads, and any minimum quantity even when the truck moves fewer tons per hour than planned.

Rate per loose cubic yard

Per-yard pricing can suit measured aggregate or earthwork quantities, but the volume condition must be named. Bank cubic yards, loose truck yards, and compacted cubic yards are not interchangeable. FHWA's Earthwork Design guidance notes that most materials change volume between bank, loose transport, and compacted fill. If weight drives legal payload or disposal, combine the yard measurement with a supported loose density and ticket checks.

Build the cost before the selling rate

A defensible dump truck cost stack usually includes:

  • Truck equipment cost: depreciation or lease recovery, maintenance, repairs, tires, insurance, registration, and other nonfuel ownership or operating expense.
  • Fuel and DEF: based on fleet records for the route and payload; avoid counting fuel again inside an all-in truck-hour cost.
  • Driver cost: wage plus payroll burden, benefits, and other employer cost—not the customer billing rate.
  • Loading and support: loader, operator, spotter, scale, or project support that continues while the hauling fleet works.
  • Direct charges: disposal or tipping, tolls, permits, washout, testing, and other job-specific costs.
  • Overhead: office, estimating, compliance, supervision, and indirect business cost not captured elsewhere.

Komatsu's cost-per-ton framework links consistent hourly cost with measured production. The key word is consistent: decide what is inside each hourly figure and leave the same expense out of every other line.

Translate cycle production into unit rates

Start with the load-and-spot time, loaded travel, dump and maneuver time, empty return, and recurring delay. The official OSMRE truck-use worksheet uses those cycle components and relates fleet count to loader service time. A simple production relationship is:

Fleet loads per hour = the lower of truck return capacity or loader service capacity, adjusted once for any additional field-efficiency factor.

Multiply loads per hour by planned payload to estimate tons per hour. Divide by loose density to estimate loose yards per hour. Then connect cost and production:

  • Break-even per load = internal job cost ÷ whole loads.
  • Break-even per ton = internal job cost ÷ job tons.
  • Break-even per loose yard = internal job cost ÷ loose hauled yards.
  • Customer price at target margin = internal cost ÷ (1 − margin).

A 25% target margin is not a 25% markup. If internal cost is $3,000, a 25% markup produces $3,750 and a 20% margin. A true 25% margin produces $4,000. Use the Markup vs Margin Calculator when a quote system or customer worksheet uses different terminology.

Matched fleet size matters more than truck count alone

The theoretical truck match for one loader is total cycle time divided by average load-and-spot time, rounded up. When the cycle is 48 minutes and one truck takes eight minutes to load and release, six trucks are the mathematical match. Fewer trucks may leave the loader waiting; more trucks may queue.

This relationship is not a guarantee. Variable travel, traffic signals, backing, scale time, dump conditions, unequal truck capacities, breaks, and loader interruptions can create platoons or gaps. Time real cycles and revise the model. More trucks only improve output while another constraint is not already governing.

Set minimums, standby, and delay terms

Small jobs still consume dispatch, inspection, travel, loading setup, billing, and return time. A minimum charge or minimum number of hours can recover that fixed exposure. State it clearly rather than increasing an unexplained unit price.

Standby or detention language should answer four questions:

  1. Which delay is included in the base rate?
  2. When does additional time begin?
  3. What billing increment applies?
  4. Who controls the loading point, scale, gate, dump point, and access?

A standby rate should recover the costs that continue while the truck and driver wait, plus the intended margin. If a loader and support crew also remain assigned, price their continued cost separately or include it explicitly. Handle disposal, fuel, and route changes explicitly

State whether tipping or disposal is included, passed through, allowed at a stated amount, or reconciled from tickets. Identify prohibited or special material and who pays for rejected loads, contamination, testing, cleanup, or a changed facility. A per-ton dump fee should not be multiplied by body volume.

For fuel, use a current fleet card price or local delivered cost. The U.S. Energy Information Administration publishes weekly on-highway diesel prices, but a regional average is only a benchmark. If the quote includes a fuel-adjustment clause, write the baseline price, data source, review date, threshold, direction of adjustment, and formula. Do not call an unexplained percentage an industry-standard surcharge.

Route changes deserve their own trigger. A different dump site, detour, restricted road, toll, or changed gate schedule can alter both time and direct cost. Put the assumed route and facility in the quote.

Worked rate example

Assume a 240-ton job requires 12 loads at 20 planned tons each. The modeled fleet completes the job in 3.37 hours, accumulates 10.10 assigned fleet-hours, and produces an internal cost of about $3,432 after direct costs and 10% overhead. At a 25% margin, the customer price is about $4,576.

That scenario translates to roughly $381 per load, $19.07 per ton, or $28.60 per loose yard at 1.5 tons per loose yard. Those unit rates are equivalent descriptions of the same modeled job—not market averages. Changing payload, delay, disposal, or fleet cost changes all of them.

Quote checklist

  • Customer, project, material, quantity source, and whether units are bank, loose, compacted, or scale tons.
  • Truck class or verified payload assumption and treatment of the partial final load.
  • Loading point, route, destination, mileage, gate hours, and included cycle conditions.
  • Billing unit, minimum, included wait, standby rate, billing increment, and clock start/stop.
  • Disposal, tolls, permits, fuel adjustment, taxes, rejected loads, and excluded material.
  • Weather, access, traffic-control, utility, environmental, and site responsibilities.
  • Change-order triggers for quantity, route, facility, material condition, loading method, or delay.
  • Ticket and documentation requirements, payment timing, and quote expiration.

Keep the quote short enough to use, but specific enough that a changed cycle does not become an argument about what the original rate included.

Calibrate rates from completed work

For each representative load, record payload, loading release, dump arrival, dump release, return time, delay cause, route miles, fuel, disposal, and exceptions. Change a default only when the cause is repeatable. A one-day road closure should remain a risk note; a disposal site that consistently takes 18 minutes longer belongs in the next cycle model. Local evidence is how a hauling rate becomes more reliable without pretending it is universal.

Legal, operating, and safety boundaries

What is the best way to charge for dump truck hauling?

Use the unit the customer can verify and the contractor can control. Hourly pricing fits uncertain cycles; per-load, per-ton, and per-yard prices need clearer quantity, payload, wait, disposal, and change terms.

Is there one average dump truck hauling rate?

No reliable national number fits every scope. Compare local quotes only after matching truck class, payload, route, cycle, loading, disposal, wait, fuel, insurance, overhead, minimum, and contract inclusions.

How should standby time be priced?

Define when standby starts, which delay is already included, the billing increment, and who controls the delay. Recover the truck, driver, and any support cost that continues while waiting, then apply the intended margin.

Should disposal fees be marked up?
